Conference Photography: My take on how to be the best NYC Event Photographer

As a professional event photographer in New York City, capturing the essence of a full-day conference can be both exhilarating and challenging. Whether it’s a high-energy keynote address or an intimate breakout session, the key to successful conference photography lies in pre-event preparation, experience, technical know how, and adaptability.

For this conference, I had the privilege of photographing last year’s event featuring multiple speaker panels and breakout sessions, with a variety of formats ranging from small two-person discussions to larger panels with up to eight participants. This year, the event was more or less the same, but this format is often copy-pasted across clients. In this post, I’ll share my insights on how I photograph a full-day conference ensuring images that accurately represent the event and its key moments are captured.

Wide Shots vs. Candid Moments: Balancing the Big Picture and Details

While the large speaker panels require wide-angle shots to capture the entire stage, don’t forget the power of candid moments throughout the conference. These moments—whether it’s a speaker adjusting their microphone, a small group of attendees networking, or someone raising their hand to ask a question—bring an authentic touch to the gallery. I made sure to also keep my eyes peeled for moments of connection, like a smile shared between speakers or a deep conversation between attendees.

Quick turnarounds are often necessary in event photography, so I made sure to deliver a first batch of edited highlight photos same day to give the event organizers something to share on social media and for press use. The rest of the images were delivered within 7 days.

As professional NYC Conference and Event Photographers we are always searching for big moments, the little moments, and everything in between. The sum of it all tells the story of an event, and we often hear the detail photos we capture are crucial in planning future events, whether for an annual event or new event; empty rooms, setup photos, branding, chair and table placements.

No matter how serious the event is, there are always a few light moments where someone cracks a joke or gets the crowd excited. No matter how “instant” these moments are I am ready. As a corporate event and conference photographer, I am always searching for those split second events of laughter, joy, and excitement. I am always ready to photograph smiles and laughs.

Leaders on Purpose

Leaders on Purpose 2022 is an event focussed around the UN General Assembly. This year’s event featured panel discussions, 1-1 on conversations, audience Q&As, and speakers. The 2 day event at the Javits Center in NYC took place both during the day and at night through New York City.

I photograph events of all sizes and with varying restrictions; no flash, no moving during the presentation, and only photograph the first few minutes. During speeches I can either be a fly on the wall or I can quietly walk around capturing reaction photos and new perspectives of the event. It’s up to you.

How to find a professional Event photographer to photograph your conference.

The most common questions/ statements I receive from prospectus customers about hiring an event photographer or conference photographer are:

  • When do we receive the photos? I need to issue a press release and post on social media ASAP.

    • Same day images | My background is in marketing and I understand the importance of relevance. This is why I always deliver same day highlight images. As a group or individually, these photos answer the 5 Ws of your event. Who, What, Where, Why, and When did your event happen.

  • Can you stage photos with attendees in between the sessions?

    • Yes! Between speakers or sessions is NOT down time. In fact, it is my GO-GO-GO time. I’m always looking for moments to photograph and people to pose. During this time I’m politely asking people to pose in groups and acted engaged. Maybe they’re demoing a product, catching up with someone, or they’re just talking about their new puppy, I make moments look inviting, interesting, and organic.

  • “We need to incorporate branding and logos in to the photos, and be mindful of name tags.”

    • Of course! This is your event and it should be known that this is your event. Your images should include branding and cues easily identifying both your event and your brand. The photos below are from Finastra Universe in New York City, a full day FinTech conference right here in New York City. I was mindful to capture anything with Finastra’s brand (logos and colors) and incorporate it into the story of the day.

This is a common email and talking point. No matter how serious the event is, there are always a few light moments. For example, someone is always guaranteed to crack a joke or do something goofy, and instantly the crowd goes wild. No matter how “instant” these moments are I am ready. As a photographer, I am always hunting for those split second events. I am always ready to photograph smiles and laughs.

And don’t worry, the serious moments will also be captured as well.
